Terms and Conditions for Arranged Travel

(Document Explaining Transaction Terms under Article 12-4 of the Travel Agency Act)
The details of the travel contract you are about to enter into are as set forth below, in addition to those specified in the travel itinerary (course chart) and travel terms/conditions (or quotation). This document is a transaction terms explanation document delivered to you pursuant to Article 12-4 of the Travel Agency Act, and upon formation of the travel contract, it shall form part of the contract document under Article 12-5 of the same Act and Article 10, Paragraph 1 of the Arranged Travel Contract Section of our Travel Agency Terms and Conditions (hereinafter referred to as the "Contract Document").

Arranged Travel Contract

(1) This travel is arranged by our company, and you will enter into an Arranged Travel Contract with us.

(2) At your request, our company undertakes to make arrangements on your behalf, acting as an agent, mediator, or broker, so that you may receive transportation, accommodation, and other travel-related services.

(3) In making travel arrangements, our company shall charge, in addition to the fares, fees, and other travel expenses to be paid to transportation and accommodation providers as the travel price, the prescribed travel agency handling fees.

Types of Travel

Travel is categorized into "Domestic Travel," which refers to travel solely within Japan, and "Overseas Travel," which refers to all other travel.

Application for Travel

(1) Our company accepts reservation applications for arranged travel contracts for airline tickets, accommodation vouchers, etc., as requested by the customer, via our prescribed application form or communication methods such as telephone, email, or fax. However, when passenger tickets and accommodation vouchers are handed over in exchange for payment of the travel fee, oral applications may be accepted.

(2) When the contract representative representing a group or organization applies, our company shall deem the contract representative as possessing all agency rights on behalf of the group members.

(3) Please fill in the required items in our prescribed application form and apply together with the application fee or the full travel fee. The application fee shall be treated as part of the travel fee or cancellation fee.

Travel Conditions for Customers Wishing to Conclude a Communication Contract

(1) Our company may conclude a travel contract by telephone, email, fax, or other means of communication (hereinafter referred to as a "Communication Contract") on condition that payment of part of the travel fee (application fee), etc., is received from a card member (hereinafter referred to as "Member") of a credit card company affiliated with us (hereinafter referred to as "Affiliated Company") without the Member's signature. However, we may not be able to accept applications if we do not have a merchant agreement with the Affiliated Company that includes an unsigned transaction clause, or due to operational reasons.

(2) When applying for a Communication Contract, the Member shall inform us of the "Details of Arranged Travel," "Departure Date," etc., as well as the "Card Name," "Member Number," "Card Expiration Date," etc.

(3) A Communication Contract is formed when notification of acceptance of the application dispatched by our company reaches the Member.

(4) The "Card Usage Date" for a Communication Contract shall be the date on which the Member and our company are to fulfill payment or refund obligations based on the Arranged Travel Contract. In the former case, it is the contract formation date, and in the latter case, it is the date on which our company notifies the Member of the amount to be refunded.

(5) If the customer's credit card cannot be processed by the card company, our company shall decline the application.

Application Conditions

(1) Persons under 18 years of age at the time of application require a written consent form from a parent or legal guardian.

(2) Customers who are in ill health, have physical disabilities, are pregnant, use assistance dogs, or require other special consideration must inform us at the time of application. Our company will respond to these requests to the extent possible and reasonable. Expenses for special measures taken by our company for the customer based on their declaration shall, in principle, be borne by the customer.

(3) Our company may decline an application if the customer falls under any of the following items ① to ④:

  • ① When the customer is recognized as an organized crime group member, associate member, affiliate, organized crime-related enterprise, corporate racketeer (sokaiya), or other anti-social force.
  • ② When the customer engages in violent demands, unlawful demands, threatening language or violence, or similar behavior toward our company in connection with the transaction.
  • ③ When the customer spreads rumors, uses fraudulent means or intimidation to damage our company's credibility or obstruct our business, or engages in similar behavior.
  • ④ The use or resale of guest rooms reserved through these arrangements for commercial purposes is strictly prohibited. If our company determines that an act is conducted for commercial purposes or in preparation thereof, we may terminate the Arranged Travel Contract without prior notice.

(4) Our company may also decline an application due to other operational reasons of our company.

Formation of Contract

(1) The Travel Contract is formed when our company accepts the conclusion of the contract and receives the application fee equivalent to the travel price.

(2) Notwithstanding the provision of item (1), our company may, by special written agreement, form an Arranged Travel Contract solely upon acceptance of the contract without receiving an application fee.

(3) In the case of the preceding paragraph, the timing of contract formation shall be explicitly stated in the written agreement mentioned above.

Delivery of Contract Document

Promptly after contract formation, our company will deliver reservation confirmations, travel terms and conditions, and invoices via email. For group or organization travel, travel fee quotations, travel terms and conditions, travel acceptance letters, and invoices will be delivered.

Changes to Travel Contract Details

If a customer requests a change in contract details, our company will accommodate the request to the extent possible. In such cases, the travel fee will be adjusted, and cancellation fees or other modification costs imposed by transportation/accommodation providers as well as our prescribed change handling fees will be charged.

Cancellation of Travel Contract

(1) Voluntary Cancellation by Customer
The customer may cancel all or part of the Travel Contract at any time by paying the following fees:

  • ① Expenses for travel services already received by the customer.
  • ② Cancellation fees for unrendered travel services and other unpaid costs to service providers.
  • ③ Arranged fees and cancellation handling fees as prescribed travel agency handling fees by our company.

(2) Cancellation Due to Reasons Attributable to Customer

① Our company will cancel the Travel Contract if the customer fails to pay the travel fee by the prescribed due date.
② Our company will cancel the Travel Contract if the customer's credit card cannot be processed by the card company.
③ When it is found that the customer falls under any of Section 5, Paragraph (3), items ① to ④.
In the cases of ①, ②, and ③ above, the following expenses shall be borne by the customer:

  • (a) Expenses for travel services already received.
  • (b) Cancellation fees for unrendered travel services and other unpaid costs to service providers.
  • (c) Arranged fees and cancellation handling fees as prescribed travel agency handling fees by our company.

(3) Cancellation Due to Reasons Attributable to Our Company
If travel service arrangements become impossible due to our company's fault, the customer may cancel the Travel Contract. In this case, our company shall refund the remaining balance after deducting expenses already paid or to be paid as consideration for travel services received from the travel fee.

Travel Fee

(1) Prior to the start of travel, if variations in travel fees occur due to revisions in transportation fares/charges, exchange rate fluctuations, or other reasons, our company may change the travel fee. In such cases, any increase or decrease in travel fees shall belong to the traveler.

(2) The travel fee must be paid in full by the date designated by our company. In the case of group or organization travel, the payment due date and method will be clearly stated in the travel acceptance letter.

(3) Our company will settle the paid travel fee promptly after the completion of the trip.

*Transportation expenses, accommodation expenses, and other necessary expenses for the tour conductor to accompany the group will be charged separately.

(3) Cancellation Handling Fees

*Handling fees will be clearly stated in the travel terms and conditions (or quotation) together with travel expenses.

Cancellation Fees for Domestic Accommodation Facilities

Cancellation fees for inns and hotels shall be subject to the accommodation terms and conditions of each facility.

Change and Cancellation Handling Fees for Overseas Air Tickets

(1) Passenger name changes for issued air tickets require canceling the existing reservation and making a new reservation; therefore, cancellation handling fees will be charged.

(2) Air tickets will be issued after contacting and confirming with the customer. Any subsequent changes or cancellations will be subject to change and cancellation handling fees.

Responsibility for Arrangements

When our company has arranged travel services described in the Contract Document with the "duty of care of a good manager," our performance of obligations shall be deemed completed.

Our Company's Responsibility

(1) In performing the Arranged Travel Contract, if our company or our arrangement agent causes damage to the customer intentionally or negligently, we shall compensate for such damage. However, this is limited to cases where notification is given to our company within 2 years from the day following the occurrence of the damage.
For damage to baggage, notification must be given within 14 days for domestic travel and within 21 days for overseas travel, counting from the day following the occurrence of damage, up to a limit of JPY 150,000 per customer (except in cases of willful misconduct or gross negligence by our company).

(2) If the customer suffers damage due to natural disasters, wars, riots, suspension of travel service provision by transportation/accommodation providers, government orders, or other reasons beyond the control of our company or our arrangement agent, our company shall not be held liable for compensating such damage.

Customer's Responsibility

(1) If our company suffers damage due to the customer's willful misconduct or negligence, the customer must compensate for such damage.

(2) Customers must utilize the information provided by our company and strive to understand their rights, obligations, and other contents of the Arranged Travel Contract.

(3) After the travel starts, if the customer recognizes that the travel services provided differ from those described in the Contract Document, they must promptly notify our company, our arrangement agent, or the travel service provider at the destination.

Compensation for Damage During Travel

The Special Compensation Regulations attached to our company's Travel Agency Terms and Conditions do not apply to this Travel Contract.

Steps to be Taken by Customer Prior to Departure

(1) Passports and Visas
Customers are responsible for confirming whether their current passport is valid for this trip and obtaining necessary passports/visas. If vaccination certificates are required by the destination country, please carry them. Arrangements for these travel procedures can be handled for a fee.

(2) Health Information
For health and quarantine information at your travel destination, please check the Ministry of Health, Labour and Welfare Quarantine Information Website: http://www.forth.go.jp/.

(3) Overseas Travel Risk Information
Travel advisories/risk information may be issued for certain countries or regions. We will provide a document regarding overseas travel risk information at the time of application. Please also check the Ministry of Foreign Affairs Overseas Safety Website: http://www.pubanzen.mofa.go.jp/.

(4) Travel Insurance
Substantial medical and transfer expenses may be incurred in case of illness or injury. Furthermore, recovering compensation from perpetrators in accidents can be extremely difficult. We strongly recommend purchasing a sufficient amount of travel insurance to cover medical, transfer, death, and residual disability expenses.

Fuel Surcharges

(1) Fuel surcharges will be announced at the time of contract.

(2) If the airline increases the fuel surcharge after contract formation, the deficit will be collected additionally with customer consent; if decreased, the reduction will be refunded promptly.

(3) If the customer cancels the Travel Contract due to fuel surcharge collection, our company will charge prescribed travel agency handling fees.

Purpose of Use and Third-Party Provision of Personal Information

(1) Our company uses personal information provided in application forms for communication with customers and, to the extent necessary for arranging and receiving services provided by transportation/accommodation facilities, provides customer names, addresses, passport numbers, etc., to those organizations.

(2) For customer shopping convenience at travel destinations, our company may provide personal data (name, passport number, flight number, etc.) to souvenir shops. If you wish to opt out of personal data provision to souvenir shops, please notify our inquiry desk prior to departure.

Compliance with Terms and Conditions

Matters not specified in this travel conditions explanation document shall be governed by our company's Travel Agency Terms and Conditions (Arranged Travel Contract Section).
